Introduction

The training operation regulation defines the rules for training actions developed by our Association, and aims to inform the different stakeholders about their rights and duties and the operating rules.

Description of AEA

Águeda Business Association, hereinafter referred to only as AEA, is a non-profit employer association, founded in 1974 on the initiative of a group with 27 entrepreneurs, belonging to different sectors of activity. Its statutes were approved on july 14 th , 1976.

General Rules

Within the scope of vocational training, AEA interfere in the inter-company training and intra-company training components that is training tailored to companies and aimed at the general public.

This regulation establishes the rules for the operation of the professional training lead by AEA.

Inter-Companies Training

Subscription

The registration process consists of completing the registration form provided by AEA, and the delivery of the requested documents. When formalizing the registration, the trainee is provided with the training regulation, the training contract and the course file.

The training contract includes accident insurance, policy number 11072793 of the security companie Victoria, SA. that may occur on the premises during training.


Selection

The criteries used in the selection process are:

Existence of all requested documents / elements
Verification of consistency with the target audience and objectives of the action
Date of receipt of the application
AEA reserves the right to ban the attendance of a candidate training action which reveals improper conduct in relation to the principles of respect or any other disturbances that destabilize the normal course of training.


Payments and other conditions

The payment due must be paid at the time of registration, and can be made in cash, check payable to AEA, or via bank transfer (request the respective NIB/IBAN at the time of registration). In case of withdrawal or inability to attend the action, the trainee must communicate it to AEA in writing, at least 3 days prior to the start of the action, with a refund of the amount paid. If the withdrawal is communicated after the deadline, AEA is not obliged to refund the registration fee.

The documentation and information distributed in the course of the actions is the property of AEA and cannot be used or reproduced for any other purpose.

AEA may cancel or postpone the training action whenever the number of subscribers/trainees is insufficient. The communication to the trainees will be made up to 48 hours before the beginning of the training in writing or via telephone, depending on the cases, and the registration fee will be refunded.

At the end of the action, the Professional Training Certificate will be issued, in accordance with Ordinance nº474 / 2010 of 8 July, to the trainees who obtain a pass rate and / or attendance rate equal to or higher than 85% of the hours of the training action.

The training designated by intra-companies comes from the specific need that a specific company has asked AEA for a commercial proposal for the course.


Conditions:

The selection of trainees is the responsibility of the company, however AEA as a training entity stipulates the maximum number of trainees per training action.

The training dates and times are agreed according to the availability and interest of all parties involved, company, AEA and trainer.

At the end of the action, the Professional Training Certificate will be issued, in accordance with Ordinance nº474 / 2010 of 8 July, to the trainees who obtain a pass rate and / or attendance rate equal to or higher than 85% of the hours of the training action.

At the end of the training action, the pedagogical technical dossier will be delivered to the company, keeping AEA a copy of it.

Obligations of the client company:

Create physical conditions, room, material and equipment necessary for the normal functioning of the training;
To guarantee the health and safety conditions and personal accident insurance for employees in training;

Training Evaluation

The evaluation of the training is done at the end of the action by the Trainer, the Trainees and the Coordinator, using their own forms contained in the technical pedagogical dossier. At the end of each training action, the knowledge acquired by the trainees is assessed by the trainer. The evaluation can be done through: knowledge test, group dynamics, simulations, or any other way that the trainer deems appropriate. In short actions (equal to or less than 25 hours), formal knowledge assessment is not mandatory.

Trainees

Rights
Be treated with respect by the entire training team;
Participate in the training action in harmony with the defined programs and methodologies;
Have access to the facilities, equipment and necessary materials for the development of the action;
Receive the Professional Training Certificate free of charge at the end of the action (if successful and attendance rate is obtained);
Know the regulation of training provided by AEA;


Duties
Be assiduous, punctual and responsible;
Treat all elements of the training team with respect;
Ensure the preservation, hygiene and conservation of the facilities, teaching material and furniture;
Bear the costs of acquisition, repair or replacement of equipment and material for the training action, whenever the damage produced is a result from intentional or negligent behavior;
Obtain an attendance rate of 85% or more.
Provide assessment tests and knowledge to which it will be submitted;
Carry out the evaluation of the training action.

Training Manager

Functions
To prepare annually the training policy to be developed by AEA;
Develop general rules and specific training regulations;
Survey the training needs and define annual options;
Establish annual or medium-term planning for training;
Budget and control the budgetary implementation of training;
Coordinate and control the execution of actions, providing all the necessary human, material and financial resources;
Evaluate the results of the training;
Carry out the pedagogical studies necessary for the effective development of training;
Represent AEA, with regard to training;
Ensure compliance with the objectives of the activity plan;

Trainers

Functions
1. Create, in collaboration with the Coordinator, the course programs and the respective session plans according to the objectives and profile of the recipients;
2. Develop training according to the programmed content;
3. Collaborate with the Coordinator, throughout the administrative process, namely:

Fill in the summary sheets, collect the signatures of the trainees, keep the Technical - Pedagogical dossier permanently updated and participate in the solution of any problems that may arise during the course of the actions;
Sensitize and motivate trainees to the importance of training for their lives and professional achievement;
Be clear and explicit in your presentation;
Be attentive to the work group, with the concern to develop its potential;
Carry out a permanent and fair analysis and evaluation, not only in the period in which the action is taking place, but also in the execution of appropriate exercises, which also allow a good evaluation and collection of elements for the future;
Autonomously develop space management during the sessions;
To try to keep up to date in its general culture and in particular in the topics to be developed;
Collaborate in the creation and development of teaching materials, updating them whenever necessary and convenient;
Enforce the Internal Regulations and Legislation in force, which should be known to you.

Pedagogical Coordinator

Functions:
1. Ensure the development of training processes in the area (s) within its competence;
2. Collaborate in the choice of training rooms and necessary support material;
3. Monitor the preparation of pedagogical material and check before and during the execution of the actions, if everything is as planned, if not, provide the correction;
4. Participate in meetings with the trainers and the various stakeholders in the process;
5. Monitor and verify the entire administrative process;
6. Resolve issues that are within your scope of intervention locally;
7. Enforce the Internal Regulation, and all the Legislation in force;
8. Enforce the budgets of the projects entrusted to you;
9. Keep all dossiers up to date.
10. Ensure the confidentiality of all work and any information obtained during the development of the project and in the contacts established during the same.
11. There will be two levels of pedagogical coordinators in AEA: the main one, which assumes the main activity and the substitution that ensures the functions whenever the main pedagogical coordinator is the trainer in the area of ​​training in which he performs these tasks.

Customer Service / Administrative Technician

Functions:
1. Administrative service;
2. Service;;
3. Control the reception and storage of materials;
4. Keep the file updated of all documentation received and issued, thus allowing a quick consultation of the various files;
5. File and communication of legal and / or other applicable norms and requirements of interest to the Quality Management System;
6. Support the Training Manager in the organization of the technical-pedagogical dossiers and the technical-financial dossier of the courses taken;
7. Support the Training Manager in the reproduction of teaching materials, management, control and distribution of resources for training;
8. Provide support to trainers and pedagogical coordinators in administrative matters;
9. Support the Training Manager in complying with the certification requirements and connection to the system;
10. Comply with what is established in the processes, procedures and work instructions that refer to your role;
11. Support the Training Manager in complying with the Internal Regulations;
12. Participate in the processes to which it is attached, as well as in the fulfillment of the respective objectives;
13. Keep your work area clean and tidy;
14. Guarantee the confidentiality of all work and any information obtained during the development of the projects and in the contacts established during them.
